What we check for manufacturers

  • Contracted material rates
  • Quantity tiers & rebates
  • Unit-of-measure conversions
  • Quality credits & returns

Every finding is reviewed before it becomes a claim.

Price mismatches

Check invoiced rates against your agreed prices.

Agreed $18.40 / Billed $20.90

Explore exampleClose example: Price mismatches

An invoice bills aluminium at $20.90/kg against an agreed rate of $18.40/kg. The $2.50/kg difference is a potential overcharge, not an approved claim.

Evidence
Invoice line, applicable rate card, product specification and effective dates.
Human review
Check units, volume tiers, amendments and permitted surcharges before applying the difference to the supported quantity.

Duplicates & units

Spot repeated charges and unit-of-measure errors.

Same charge. Different invoice?

Explore exampleClose example: Duplicates & units

Two invoices contain the same $480 order line. Separately, cartons may be billed by the case while the agreement prices them per unit.

Evidence
Invoice and order references, receiving records, payment history and agreed pack sizes.
Human review
Confirm whether a repeated line is a separate delivery, a reversal or an actual duplicate charge. Normalize units before comparing rates; a repeated record alone does not prove a duplicate payment.

Rebates & credits

Check that agreed benefits reach your account.

Eligible credit. Not yet applied.

Explore exampleClose example: Rebates & credits

An approved quality issue may qualify for a $180 credit, but no matching credit appears in the records provided.

Evidence
Commercial terms, approved issue record, credit notes and supplier statements.
Human review
Verify eligibility, timing and whether the credit was already applied elsewhere. Test agreed volume rebates, samples and replacements in the same way.

Scope & exclusions

Keep unsupported items out of the claim.

In scope / Needs evidence / Excluded

Explore exampleClose example: Scope & exclusions

Contract-rate testing is in scope. An unverified charge needs evidence. Freight stays excluded unless contracted logistics rates are expressly included in the engagement.

Evidence
Agreed engagement scope and the documents supporting each charge.
Human review
Keep review-only, unmapped and out-of-scope amounts outside confirmed recovery. Record why each item is included, excluded or awaiting support.

Illustrative examples. All findings require human review.

Every engagement starts with an agreed scope.

Conservative by design. Defensible by default.

A supplier-cost and internal-control review - not a statutory financial-statement audit, tax opinion or legal conclusion.

01

No uncertain duplicates in confirmed recovery.

Example: a repeated $760 line remains review-only until the GRN is received.
02

No unmapped charges presented as findings.

Unknown descriptions stay outside recovery until contract mapping is supportable.
03

No undercharges offset against overcharges.

Below-rate lines are disclosed, not used to reduce supplier claims.
04

Every exception carries its evidence and reason.

Invoice, agreement and operational support are linked to each decision.

Technology handles volume. A finance professional owns the answer.

01

Structured analysis

AI-assisted cleaning and matching reduces manual preparation without making the final judgment.

02

Evidence validation

Every confirmed recovery item is checked for scope, contract support and operational evidence.

03

QA and sign-off

The finance reviewer owns exclusions, judgment calls, management actions and the final deliverables.

What do you need to start?+

For the free review, three representative supplier invoices, the relevant rate card or commercial terms, and any issue records that may affect what should be charged. Files are requested only after the scope is acknowledged. For a quote or demo, start with your invoice volume and review needs; no files are needed in the enquiry form.

How is pricing determined?+

We quote for your invoice and line-item volume, supplier and contract complexity, data quality and review frequency. One-off reviews and ongoing monitoring are scoped individually. The scope and fee are agreed before paid work begins; accounting add-ons are quoted separately.

How long does an audit take?+

Timing depends on invoice volume, review complexity and the completeness of the evidence. We agree the timetable with your scope before work begins.

How is my information handled?+

NDA terms are available. Access is limited to the assigned review team, files are used only for the agreed engagement and the retention or deletion approach is confirmed before upload.

Will contacting CostVerify damage the supplier relationship?+

The review is evidence-led and neutral. Findings distinguish confirmed recovery, review-needed items, correct charges, exclusions and unmapped lines so your team can have a factual supplier conversation.

Which file formats are supported?+

XLSX, CSV and PDF are the most common. We can also work with structured exports from accounting, purchasing and order-management systems.
